Description

ASPL is seeking a highly motivated, organised and confident Executive assistant who has the willingness to expand their knowledge beyond their role within ASPL. The successful candidate will be confident with handling Business and Information Technology terminology, a team motivator and coordinator, maintains a positive mindset in all environments and is experienced with organising calendars, schedules of work and team queries with ease.

You will be working closely with the ASPL team while expanding your experience and role to support the team as well as maintaining daily rapport with the CEO.

This role will be required to deliver a high degree of value and performance outcomes by working closely with the CEO and Administrative Team to provide:

  • Diary coordination and meeting bookings for the CEO
  • Strategic-minded sales planning
  • Engage and maintain relationships with a range of potential and existing clients
  • Travel planning and coordination
  • Proposal/tender submission
  • Update pipeline reports on key client deliverables
  • Support on-going platform and procedural training
  • Review/produce ASPL templates, methods and key standards
  • Assist in business development and promotional activities

Expectations for this role are required to fulfill the responsibilities as listed above in accordance with ASPL Group core values and guidelines while providing proactive, professional and efficient secretarial and administrative support by:

  • Completing all tasks in a timely manner while adhering to expectations of working within a virtual office
  • Participating in the strategic planning and implementation of sales and account acquisition
  • Collaborating closely with other Executive Assistants and Senior Team Leaders as needed
  • Compiling documents and delivering executive correspondence
  • Maintaining ASPL Group key methods, templates and processes
  • Assisting with business development activities including preparation of submissions, proposals, presentations, reports
  • Clearly communicating ASPL Group capabilities and competitive advantages to clients, ICT leaders, program sponsors, other agencies and external stakeholders

 Knowledge and Experience:

  • MUST possess a ‘can-do’ approach to challenges and maintain well-developed interpersonal skills
  • Time management and prioritisation skills are absolutely integral
  • Demonstrate the ability to be self-motivated and use initiative
  • At least 3-5 years experience in administration as an assistant or similar role
  • Exceptional organisational and multi-tasking skills
  • Proven experience in the application of Microsoft Office suite and type at least 60 wpm
  • Excellent written and verbal communication skills
  • Able to speak to various individuals from many backgrounds and position levels
  • Demonstrate expertise in compiling correspondence and recording minutes and notes
  • Any previous sales / event coordination / public relations experience will be highly desired
